General Summary:

Assists service/home add on account managers and service technicians. Assuring the technicians are scheduled and maximizing efficiency throughout the day.


Principal Accountabilities:


  • Dispatches Service Technicians to job sites, completing calls in the system throughout the day in order to approve technician's hours for that day. Schedule all upcoming services work for planned service and follow-up work.


  • Adds new equipment, installation dates and warranty information for each customer including equipment installed on jobs. Enters Carrier warranty numbers when received.


  • Assists the account manager with entering planned service contracts. Also enters contracts for PMA customers. Renewals


  • Approves payroll for technicians.


  • Orders and purchases parts as needed and enters information as required in database. Coordinates pick-up and deliveries to technicians as needed. Maintains updated list of parts purchased, but not yet installed.


  • Processes service work orders: adds inventory part codes, matches special part purchase orders and adds costs, and matches with call slips. 


  • Coordinates GHAC refrigerant recovery program. Maintains documentation for refrigerant purchases and usage.


  • Prepares all paperwork for parts and materials under warranty.


  • Tracks service-tool inventory and advises Materials Manager when new/replacements may be needed.



Additional responsibilities of Residential service Coordinator

  • Handles over the counter sales according to company policy and collects appropriate payment.
  • Assists in inventory counting, recording and necessary paperwork.
  • Replenishing, ordering and returning parts, processing service work orders, over-the-counter sales, processes paperwork for HAO jobs, UPS shipping, and warranty paperwork
  • Tracks residential Carrier equipment inventory. Performs HAO job set up paperwork to include:  contacting electrical contractor, ordering equipment if necessary and coding material.
  • Assists with ordering, coding and stocking inventory and supplies via the COINS purchase order system. Monitors stocking levels. Recommends new parts to stock or parts no longer needed in stock.

Knowledge, Skills and Abilities Required:

  • Strong verbal communication, interpersonal and organizational skills.
  • Proficient with Microsoft office.
  • Service coordinator experience preferred but not required.

Scope Data (budget accountability, operating revenues, organizational unit responsibility, number of employees supervised, other pertinent numeric data):

  • Handles approximately 20-40 Service calls daily.
  • Dispatches approximately 20 Service Technicians daily.

Description of physical working environment:

  • Normal office environment. Routinely works from a sitting position with a computer.  Repetitive typing and computer use required.  Regular bending, twisting, and light lifting is common.


  • Ability to climb up and down ladders and steps on site is required.
